Record Maintenance

The following items should be kept in each job file:

  • Contract with homeowners, including change orders and any correspondence
  • Copy of the architectural plans
  • Copy of building permit
  • Copy of warranty registration and warranty (if applicable)
  • A list of subcontractors and their contact information
  • Contracts with subs
  • A copy of each subcontractor's insurance certificate (particularly when our insured is to be named as an additional insured)
  • Copies of any inspection reports
  • Copies of invoices from suppliers, distributors & subcontractors
  • Copy of the termite bond
  • Certificate of occupancy
  • Copy of your General Liability declarations pages

Each job file should be treated as though you are going to court 5 years after issuance of the Certificate of Occupancy and this file is your only defense!
